Step-by-Step: How to Welcome an International Teacher Through the J-1 Program

Visa paperwork, federal compliance, and eligibility requirements can seem better suited to a law firm than a school office. Fortunately, the reality is quite different. From identifying a need to welcoming the new teacher into your classroom: here’s how to hire international teachers in the United States.

Step 1: Identify Your Need

The hiring process starts with a simple question: where can your school benefit from welcoming an international educator?

Maybe your school has a bilingual classroom that could utilize an international teacher, you’d like to increase teaching capacity, or your school community would be enriched by a new cultural perspective. Whatever your reasons for hiring internationally, it’s important that you identify your need early on.

Before reaching out to a visa sponsor, it helps to have a clear understanding of the following:

  • Which subject area and grade level needs to be filled
  • Whether the position is full-time and will last at least one academic year
  • Whether your school meets basic host eligibility requirements

To be eligible to host a J-1 Teacher, your school must be an accredited K–12 educational institution offering a bona fide, full-time teaching position. AIFS Professional Pathways can help you quickly confirm eligibility and assist you with the next steps.

If you are welcoming teaching assistants, as opposed to lead teachers, this is feasible, but eligibility requirements and visa categories look a little different.

Step 2: Partner with a Designated J-1 Sponsor

Once you’ve identified your need, the next step is connecting with a U.S. Department of State-designated J-1 visa sponsor. This is a required part of the J-1 Teacher program (schools are ineligible to sponsor themselves), and it’s also where most of the complexity gets taken off your plate.

Step 3: Select Your J-1 Teacher Candidate

There are two ways schools can recruit a J-1 Teacher. Some already have an international candidate in mind, a teacher they’ve found independently who meets the J-1 eligibility requirements, while other schools need help identifying qualifying candidates.

  • For schools that already have a candidate: we will evaluate their qualifications and confirm program eligibility.
  • For schools that need help recruiting: we will leverage our international network to find educators certified in your target subject area and grade level.

Whichever route your school takes, all teacher candidates must meet U.S. Department of State J-1 visa eligibility requirements, in addition to your school’s state, district, and classroom requirements. J-1 requirements include an international degree equivalent to a U.S. bachelor’s in education or their subject area, a minimum of two years of full-time teaching experience abroad, and demonstrated English proficiency. Once a candidate is confirmed eligible, your school can move forward with the formal selection process.

Step 4: Complete the Application and Visa Process

With a candidate selected, AIFS Professional Pathways manages documentation and visa processing. This is the stage that often feels most daunting to school administrators—and the stage where having an experienced sponsor makes the biggest difference.

Here’s how the J-1 Teacher application and visa process works:

  1. Host school application: Your school completes an  AIFS Professional Pathways Host School Application, providing basic information about the school and selected candidate, as well as a copy of any contracts and/or bargaining agreements provided to the teacher.
  2. Teacher application: The candidate completes their portion of the application independently, providing biographical, academic, and professional documentation, along with a credential evaluation, background check, references, and proof of English proficiency. 
  3. Eligibility review: AIFS Professional Pathways evaluates both applications, follows up if additionalinformation is needed, interviews the teacher, and conducts a school onboarding call.
  4. DS-2019 issuance: AIFS Professional Pathways issues the DS-2019 Certificate of Eligibility, confirming the teacher’s J-1 sponsorship and U.S. work authorization.
  5. Visa application: With the DS-2019 in hand, the teacher pays applies for their J-1 visa at their local U.S. consulate or embassy.

Standard sponsorship processing takes approximately four weeks from the time both applications are complete. Expedited processing is available for schools working against a tighter timeline. The visa application process at the consulate will vary by location and time of year. For most, this will take 4 – 8 weeks.

Please note that visiting teachers can be accompanied by their spouses and children! The visa sponsor will provide J-2 visa sponsorship for these dependents as needed. 

Step 5: Onboard and Welcome Your New Teacher

Once your international teacher has received their visa, they can travel to the U.S. up to 30-days before their position start date. But the process doesn’t end at arrival—and neither does AIFS Professional Pathways’ support.

Before the teacher departs their home country, we provide pre-arrival orientation resources to help them prepare for life in the U.S. Once they arrive, your school takes the lead on onboarding: introducing them to faculty, walking them through school policies, introducing their supervisor, and integrating them into the classroom.

As a host school, you’re also expected to support cross-cultural programming designed and facilitated by the exchange teacher—a core component of the J-1 Teacher program that benefits your students and school community as much as it does the teacher.
