When Should Schools Start Hiring International Teachers for the Next School Term?

For most hiring decisions, school administrators follow a familiar cycle of posting the vacancy, interviewing candidates, and onboarding before the school year begins. Welcoming international educators through the J-1 Teacher Exchange Program involves a slightly different approach, and the schools that handle it most successfully are the ones that plan ahead.

The visa process—sponsorship evaluation, federal documentation, and consular appointments—takes time and must be factored into your hiring calendar well before the first bell of the new school year. The good news is that the process is predictable, so schools that start early are usually able to move through each stage smoothly. This requires planning, but it’s highly manageable with the right timeline and support.

Time your international recruitment right—find out when to hire teachers for the upcoming school year.

How Long Does the Process Actually Take?

Before mapping out a timeline, it helps to understand what the hiring process involves and where time is spent.

Schools should allot several weeks upfront to identify positions, confirm eligibility, and select the right candidate (if you don’t already have a candidate in mind). Once a candidate is selected and both the school and teacher visa sponsorship applications are complete, AIFS Professional Pathways’ standard application process—from review to federal form issuance—takes approximately four weeks (or one week with expedited processing).

The visa sponsor must issue Form DS-2019 (Certificate of Eligibility for Exchange Visitor (J-1) Status) before the first day of school for fall hires, or any time before the first day of January classes for winter/spring hires.

Once the DS-2019 is issued, the teacher must schedule and attend a visa appointment at their local U.S. consulate or embassy, which can take an additional two to six weeks depending on their location and the time of year (in some cases, wait times may vary even more due to local demand and consular/embassy processing capacity). Once pre-departure preparation and travel are factored in, schools should plan for a minimum of two to three months from application submission to a teacher’s first day—assuming no delays.

In total, the process could take as little as two months (with expedited service) and could extend to six months with significant consular delays. Starting early is the single most effective way to ensure you have the right teacher in place when the school year begins.

The Ideal Teacher Hiring Timeline: Month by Month

While teachers may start positions in the fall or winter term, the following is based on a school year and position beginning in late August or early September. Although schools are not required to begin the hiring process 8 – 10 months from the start date, doing so gives them plenty of slack at every step and ensures potential delays are easily resolved.

November – December: Assess Your Needs & Confirm Eligibility

At this point, you should start to identify which positions you’d like to be filled by a J-1 Teacher. Also make sure to check in with current teachers and confirm they plan to return next year.

Now that you’ve identified your staffing needs, it’s helpful to reach out to AIFS Professional Pathways to preemptively ensure that your school is eligible and that you are considering all Teacher visa requirements prior to the hiring process.  We’ll help you confirm your eligibility and walk you through the process before you commit to sponsorship with us. Afterward, we’ll formalize our partnership and begin identifying qualified candidates for your target subject areas and grade levels. If you already have a candidate in mind, we can confirm their eligibility at this stage. Schools new to the program will complete a one-time onboarding.

January – March: Candidate Identification & Selection

Next, you will begin the hiring process—recruiting, reviewing candidate profiles, conducting interviews, and extending an offer to your selected teacher. Schools that have identified a candidate independently can formalize their selection (once approved) and move onto the next step.

For schools in need of hiring assistance, contact AIFS Professional Pathways with your job description and teacher requirements. With the help of our international recruiting partners, we will present vetted candidates who qualify for your position and are J-1-visa eligible. We will assist in coordinating interviews and ensuring final offer letters meet visa requirements.

March – April: Submit Visa Sponsorship Applications

With a candidate selected, both the school and the teacher submit their applications and share all required documents. Complete, accurate documentation from both parties will help prevent delays.

May: Application Review & Federal Document Issuance

After completed applications are submitted, AIFS Professional Pathways will review each party’s submission and issue the DS-2019 Certificate of Eligibility. This stage takes approximately four weeks with standard processing and one week for expedited service.

May – June: Visa Application

Once the J-1 Teacher applicant receives the DS-2019 from the sponsor, they will schedule their visa appointment at a U.S. consulate or embassy. Appointment availability varies by country and time of year—in some locations, wait times can last several weeks, so scheduling promptly is imperative. After the appointment, teachers will undergo online and social media vetting at the consulate (which takes roughly two weeks) and will then be issued their visa for travel.

Important to note, Canadian J-1 Teachers are an exception and bypass this step! With their DS-2019 in hand, they can move to the next step.

June – July: Pre-Departure Preparation

Now that the teacher has a visa, they prepare for departure and identify U.S. housing. AIFS Professional Pathways provides pre-arrival orientation resources, and the school prepares for onboarding them. Teachers who arrive with time to spare before the school year (up to 30 days before the program start date) are more likely to be classroom-ready on day one.

August: Arrival, Onboarding, & Program Start

The teacher arrives, completes onboarding, and the program begins. AIFS Professional Pathways remains available throughout the program for compliance monitoring and ongoing support.

Common Delays (and How to Avoid Them)

The earlier you can start the teacher hiring process, the lower the risk of impact from a range of delays, the most common of which is incomplete application materials. When schools or teachers submit applications with missing information, the review process can be held up. For example, documents must be officially issued, dated, and signed appropriately, and teacher documents must be translated and valid. Confirming early eligibility and thoroughly preparing documentation before submission makes a significant difference.

Waiting too long to start is another major factor. Schools that delay confirming eligibility or selecting a candidate can quickly find themselves running out of runway, particularly once consulate appointment wait times are factored in. In some countries, visa appointment availability is limited enough that even a short delay in submitting applications can push a teacher’s arrival past the start of the school year. Therefore, it’s essential that schools begin the hiring process as early as possible.

Furthermore, some materials required of the teachers take time to gather (such as reference letters or credential evaluations). When teachers know early on what is required of them and they do not wait, the process can be much smoother.

A Few Planning Tips

  • Start in the fall, not the spring: Schools that begin the hiring process earlier in the school year (or 8 – 10 months prior to the position start date), consistently have smoother experiences than those that wait until the new year. More time leads to less stress and a cushion to absorb unexpected delays.
  • Have your position details ready: Subject area, grade level, start date, and compensation information are all needed early in the process—having them on hand speeds things up considerably.
  • Submit complete applications: Review documentation requirements carefully before submitting. Incomplete applications are the most preventable source of delays.
  • Monitor consulate wait times: Appointment availability at U.S. consulates varies widely. Once the DS-2019 is issued, scheduling the visa appointment promptly is one of the most important things a teacher can do.
